An information system in the running of any business has become a major necessity in the current times. Without proper information management systems then the growth of any company could proof to be cumbersome so handle. But then what entails a good Information Technology System especially in the running of a club? That is what this paper shall try to answer.

Introduction

Information technology has, in modern times, come in handy in the running of any given company. It is a fact that information system eases the workload of any system management when properly managed.

Club IT is among the places that direly needs proper information system infrastructure. Started by Lisa and Ruben, Club IT has grown with great potential and its increasing popularity has become an avenue where many people like to hang out especially in the evening after a hard day’s work. Club IT has many clientele most of them being the very community that lives in the vicinity. The community, not forgetting the students that take some time off after school when they don’t have classes and lectures to attend, have found a good place where they can go and enjoy themselves together as they catch-up on the day – to – day happening around the globed as they dance their hearts out.

The club owners have had a first hand experience in the running of a club especially when they were in campus as they used to attend clubs where they (Lisa and Ruben) played jazz violin and Drums respectively. They did bring that expertise to the running of their very own Club IT. Combining that experience with what they learnt while in campus where they pursued degrees in Business Administration, this has been much of a success story.

Now the time has come for them to expand their horizon by bringing in information Technology in the running and management of their day-to-day schedules and activities. To start with they have come up with this amazing mission statement that say that they are offering live music, live DJs and a spacious dancing space to the customers’ satisfaction. They also offer refreshments that are made suitable for everyone’s lifestyle. They even call their customers friends and seek to build a community that would be regularly meeting at Club IT (Ruben and Lisa, n.d).

In their effort to computerize their management and organization the following would be highly recommended. First they should establish the primary activities of the information system. In this they can be able to address the inbound logistics where they will look in details into supply scheduling and the modes of controlling raw material without compromising the quality of the products. An automated warehousing system would come in handy in such a case. Secondly they will look at the outbound logistics in which they will deal with finished goods and their invoicing, orders, delivery and dispatch system. In this they can employ the services of an online order processing (POS) Point of sale (Rainer and Turban, Year Unknown).

Marketing is very essential and employment of a computer order system to improve on the target market will not be of any harm. In such software, order taking, promotion customer management, sales research and market research will be made much easier. Customer service is a very essential thing and providence of goods that have a warranty becomes crucial. A customer-relationship management system comes in handy as it also addresses the issue of training, maintenance and upgrade of the system (Rainer and Turban, Year Unknown).

Lastly on the primary activities would be to look at operation and CAD flexibility management software or a computer controlled machine system would come in handy. Such software takes care of manufacturing, product and quality control mechanisms, packaging and maintenance (Rainer and Turban, Year Unknown).

After the primary activities are addressed come now the secondary activities that also need automation. To start with is procurement where supply, subcontracting and funding are taken into account and addressed here not forgetting specifications. This is comfortably supplied by the Ecommerce web portal specifically made for suppliers. Human resource is one factor that cannot be undermined and the human resource management which is in control of recruitment, training of personnel and career development comes into play. A good and well managed work-force planning system that takes into consideration of employee benefit and their intranet connection is considered (Rainer and Turban, n.d).

Product and the technological developments are important aspects that come into play and in this research, development and product engineering becomes very essential and a secure product intranet for development partners and CAD system come in handy. This system also deals with processing and production designs (Rainer and Turban, n.d).

Lastly, a superb administration management is key to the success of the business and it addresses issues like accounting and financial management and it also deals with legal issues. A collaborative and secure intranet that handles e-scheduling and message system will be good for Club IT. It is here that the employees can log in and view their messages (Ruben and Lisa, n.d).

The kind of strategy of strategy that Club IT would require is Operational effective strategy. This will come into play as they start online processing as this will give Club IT a competitive edge over their rival especially by offering online products orders and shipments. With quality products and a good customer communication forum that is able to address the customer needs, then the operational effective strategy would best describe Club IT (Rainer and Turban, n.d).

In conclusion, Club IT has all that it wants at its disposal to make it the leading music avenue as it makes use of its competitiveness to woo more clientele into their Club and later Clubs as it seeks to expand its services. IT will give Club IT a competitive edge in the world today.
